JOB OVERVIEW

The Senior Program Manager (SPM) is responsible for managing the planning and execution of professional education programs and activities. The SPM assists in assigning programs to program managers, mentors new and junior staff, and coordinates with the broader team to deliver projects according to specifications. The SPM presents written and verbal status reports on assigned jobs to the internal agency team and to clients. The SPM also works directly with speakers and faculty (trained Healthcare Providers and Key Opinion Leaders) to coordinate involvement in meetings and activities. Speaker bureau management activities may include running reports, managing finances, and assisting with actual speaker bureau programs when needed. Successful SPMs possess excellent oral and written communication skills, superb organizational skills, and attention to detail

ESSENTIAL FUNCTIONS

Team Management & Development
  • Responsible for the day to day oversight, training and development of direct reports
Administrative
  • Perform basic administrative duties such as data entry, scheduling and coordination of projects
Client Relations
  • Provide support across internal client teams and vendors
Project Management
  • Lead and manage day to day projects to ensure smooth delivery of programs and deliverables for specific account teams
Budgeting & Finances
  • Ensures that projects deliver on time and within budget. Ensure direct reports are maintaining programs within budget.


JOB DUTIES & RESPONSIBILITIES
  • Support supervisor in managing various educational projects and meetings to ensure that client expectations are met on all levels of program activity.
  • Assist in the planning and execution of programs
  • Work directly with internal stakeholders, faculty, client, and external vendors to ensure logistical aspects of speaker programs meet expectations.
  • Speaker Bureau specific - Assign speaker programs to Program Managers based on workload and account needs. Assist with speaker bureau program management when needed.
  • Participate in team kick-off meetings, interim status meetings, and final team meetings for assigned projects.
  • Provide ongoing updates to team and client as required on each initiative to ensure successful management and completion.
  • Execute programs, projects and activities involving KOLs. Recruit, secure and contract and serve as primary liason with external faculty and KOLs for all program management tactics.
  • Process HCP honoraria and expenses, track and reconcile budgets post-event, and report expenses per legal requirements.
  • Maintain and manage timely and professional written and verbal communications with clients and faculty members.
  • Maintain current knowledge of PhRMA code, Sunshine Act and client specific HCP reporting.
  • Assist with post-event analysis, including event metrics.
  • Proactively identify potential issues.
