Job purpose


The Office Services Clerk will support the Office Services team with all aspects of office maintenance, event management and administrative duties while maintaining the highest professional standards of cleanliness and organization.


Duties and responsibilities


  • Maintain meeting rooms (clean whiteboard walls/screens, restock supplies as needed)
    • Schedule room repairs as needed
  • Maintain office kitchens (empty dishwasher, restock milk, coffee supplies, paper towels, soap)
  • Maintain printer/supply areas (clean countertops, organize and restock supplies, top up paper in printers)
  • Maintenance of FOB System
  • Photocopier and printer maintenance
  • Coordinate office moves
  • Install shelving
  • Assemble desks/simple furniture
  • Set up and clean up for internal and external company events
  • Coordinate new hire set up including desk space and supplies
  • Organize and coordinate recycling station pick ups
  • Distribute newspapers
  • Assists with company’s charitable events-United Way
  • Collect and sort inter-office mail
    • Distribute incoming mail and faxes to staff
  • Process outgoing packages (Purolator, QA Courier, regular mail)
  • Replace light bulbs when needed
  • Reception relief when needed
  • Provide break coverage for coffee bar as needed
  • Performs other duties as required
  • Adhere to FCB, IPG policies and procedures
  • Comply with all AODA regulations and requirements;
  • Ensure adherence to all company policies and procedures including health and safety.
  • Other projects as assigned





  • 2+ years of relatable experience
  • Must be able to lift up to 50lbs
  • Understanding of Microsoft Outlook (email)
  • Excellent organizational and time-management skills
  • Strong service orientation
  • Positive outlook
  • Demonstrated multi-tasking skills in a fast-paced environment and possesses a “can-do” attitude.
